Practical guide

What to track daily, weekly, and monthly with Totum AI
A useful report leads to a decision. Which customer needs a call? Which payment needs checking? Which company still has work open before the close?
Give each question a place in your routine. Totum helps you ask for the information and organise the accounting work that follows.
Daily: find what needs attention
Start with sales, cash, collections, and payments that need attention. Ask about the selected company and the period you actually mean.
For example: “Show today’s sales and outstanding customer balances.” Follow up on unusual items by asking for the underlying records.
- Check the company and data available for the review.
- Look at sales, receipts, and payments due.
- Assign the next action for items that need attention.
Weekly: review the work that is still open
Use the overdue-payment workflow to review customer follow-ups. Ask the team which items are waiting for documents, an approval, or a posting to complete.
Look at vendor balances and unresolved accounting requests as well. A short review of the queue can uncover a bill that is waiting in an inbox or an approved action that has not reached the books.
Make recurring reports a workflow
For reports the team needs repeatedly, configure the reporting workflow with the company, period, content, schedule, and supported delivery channel. Check a sample report before relying on its recurring delivery.
A useful starting point is a weekly sales and receivables summary. Keep the output focused on the questions the team will discuss, and check whether the scheduled run actually completed.
- Define the question the report should answer.
- Choose the company and reporting period.
- Configure the recurrence and supported delivery.
- Review a sample and check future runs for completion.
Monthly: explain the differences before closing
Use TDS, GST, bank, and vendor reconciliation to work through discrepancies. Review unresolved items and the supporting evidence with the accountant.
Check profitability, expenses, receivables, and payables alongside the accounting work still open. For multiple companies, review each entity separately before discussing the group’s overall position.
Give older problems their own review
An unexplained opening balance rarely becomes clearer by appearing in another monthly report. Use Totum to investigate historical books and trace the difference to the relevant records.
Agree the next accounting action and who will review it. Keep the unresolved item visible until the outcome is confirmed.
Make it a team routine
Give the right people company access in Totum and agree who owns each follow-up. Use the same records in the discussion so the meeting can focus on decisions.
Keep the daily review short, the weekly review action-focused, and the monthly review centred on the quality of the books. The value is in the work completed after the report is read.
