Practical guide

An accountant conducts invoices through an approval gate into organised ledgers

How does Totum automate your accounting work?

The expensive part of accounting is often the work between the documents and the books. Download the bill. Find the right company. Enter the details. Chase an approval. Check whether it was posted. Repeat.

Totum automates that routine, from entries and invoicing to reconciliation and reports, with connected Gmail, WhatsApp, and Slack workflows. Your team handles the decisions and exceptions.

Start where the work arrives

A supplier emails an invoice. A colleague shares an expense in Slack. Someone sends a bill on WhatsApp. Each message creates accounting work, even before anyone opens the books.

Totum brings those documents and requests into accounting workflows through connected Gmail, WhatsApp, and Slack integrations. Your team can also start work directly with text, voice, or an uploaded file.

What is a write flow?

A write flow creates or changes a record in your accounting system. Asking how much a customer owes is a read request. Asking Totum to create that customer’s invoice is a write request.

Totum prepares the accounting action, presents it for the required review, and sends the approved action to the connected system. For Tally workflows, that means an entry can reach Tally after approval. The job is complete when the accounting system confirms the result.

  1. Create accounting entries from bills and supporting documents.
  2. Prepare invoices from an instruction, voice note, or uploaded file.
  3. Review the company, party, amounts, and accounting details before approving.
  4. Check the posting result and resolve any missing details or connector errors.

A bill becomes an entry

Picture a supplier bill arriving in a connected inbox. Totum identifies the accounting work and prepares it for the team. The reviewer checks the source document, fills any gaps, and approves the proposed entry.

Once the connected Tally workflow completes, the entry is in the books. Your accountant has spent time checking the work instead of copying it from one screen to another.

An approval and a successful posting are separate steps. If the connection needs attention or Tally rejects an entry, the team needs to resolve that before treating it as recorded.

Invoicing, reconciliation, and the next task

The same approach extends to outgoing work. Ask Totum to prepare an invoice, review its details, and complete the supported accounting action. Then use your business data to see what is due and what needs follow-up.

For reconciliation, Totum helps compare TDS, GST, bank, and vendor records and identify items that need attention. An unmatched payment or a difference in a vendor or tax record becomes work to investigate. Where an accounting entry needs to be created, that is a separate write flow with its own review.

Work across companies without losing the context

When you manage several companies, the amount alone is never enough. The document, bank account, and accounting action must belong to the correct company.

Totum supports multiple companies in one workspace. Set the company context for the task and check it again when reviewing a write action. A familiar supplier name is no reason to post into the wrong books.

How Totum compares with other accounting tools

TallyPrime is a natural choice for teams running their books in Tally and includes banking automation. Zoho Books provides AI-assisted banking features within its accounting product.

Totum is worth evaluating when your work starts in Gmail, WhatsApp, or Slack and needs to become entries, invoices, reconciliation work, and reports across your companies. Its appeal is the breadth of that everyday workflow.

Give each shortlisted product the same real task. Ask it to take a document from your actual channel, prepare the entry, obtain approval, and show the result in your accounting system. That tells you more than an AI feature label.

Start with one recurring job

Pick a task your team repeats every week. Connect its source, agree who reviews it, and run it through to the accounting result. Then measure the time spent collecting documents, preparing entries, reviewing, and correcting them.

Expand once the workflow is dependable. The goal is straightforward: fewer manual steps between the request and the finished accounting work.
